Data privacy

Where your information goes and what we collect

When you submit your registration form to join one of our courses, you are sending your information to Hertfordshire County Council (as the Data controller). This information is being gathered and will be processed on the basis that you are giving consent for us to do so.

In our event booking forms, we will collect the following personal identifying data:

  • Your name
  • The school or organisation you work at
  • Your contact details

We may collect other non-identifying information that is relevant to your course.

What we use the data for, and why

We will use the data you complete when you register to join one of our training courses to enrol you onto your chosen workshop.

We send a confirmation email, and a reminder email ahead of the course.

We may contact you to share resources that come with your booked training.

We may contact you after you have completed your learning with us, to ask you to evaluate the course you attended, or find out what you did next. This helps us improve our courses and understand their impact in supporting you.

We use data to track how many attendees we've had on our courses for planning purposes and to inform our future offer.

How we collect the information

Your online registration information will be processed directly by the SEND SAS team.

If we collect information from you at an in person event, this will be done via consent with you at the time we ask for it e.g. publicity information, permission to have photos taken, evaluation forms.

How we keep your data safe

We will not share your information with a third party or use it for any other purpose.

How long we will keep your information

The information that you supply to us when you register to attend a course will be kept on file securely in a private SEND SAS area for 4 years.

If you consent to receiving correspondence from us about future courses and opportunities, then we will keep your information on an ongoing basis, as long as you are happy for us to do so. You can withdraw your consent at any time by replying to one of our promotional emails, or emailing us directly.

After this time, we will delete your personal details. If you wish to withdraw consent at any time or request that your personal data is deleted before the end of the 4 years, you can do so by contacting the relevant SEND SAS team that you booked with:

Registration fees and cancellations

The registration fee is not refundable. If you are unable to attend the course we are unable to provide a refund. We recommend you ask another member of staff to attend who can benefit from the training.


Cancelled courses

We reserve the right to cancel a course without notice. In this instance all course related fees will be refunded in full.

 

What are your rights?

Hertfordshire County Council will be the Data Controller for this information.

You have the following rights in relation to this data:

  • You have the right to be informed about what information we hold about you and how we use it.
  • You have the right to request copies of any information the Council holds about you by making a subject access request.
  • If information we hold about you is factually inaccurate you have the right to have it corrected.
  • You have the right to object to the way we are using your data.
  • You have the right to request that your data is deleted. However we may be unable to delete your data if there is a need for us to keep it. In this case you will receive an explanation of why we need to keep the data.
  • You can also request that we stop using your data while we consider a request to have it corrected or deleted. There may be some circumstances in which we are unable to do this however we will provide an explanation if this is the case.
  • In certain circumstances you may also request data we hold about you in a format that allows it to be transferred to another organisation.
  • In the event that decisions are taken using automated processes you have the right to request that these decisions are reviewed by a member of staff and to challenge these decisions.

If you would like to request copies of your data, request that your data is deleted or have any other queries in relation to data which the Council holds about you please contact the Data Protection Team.
